Volunteer consent
Dear volunteer,
When you sign up to be a volunteer at Roskilde Festival, we will start to process the personal data you provide about yourself in our IT systems. In order for us to do so, we need your consent, and such consent is subject to many statutory requirements to be valid. We've gathered it all in this text, and we hope that it all makes good sense. You have to be aware that your consent is necessary for you to be a volunteer at Roskilde Festival, and we are not able to give you your wristband at Check-In if you do not give us your consent to process your personal data.
It is important for us to emphasize that we process your personal data as little as possible and to a minimum as the sole purpose and interest we have in processing your personal data is to create the best settings for the festival.
Who is Roskilde Festival?
First of all, you must know that when we write Roskilde Festival we mean the Roskilde Festival Association, CVR-No.: 39122715. This is the legal entity that is the data controller in relation to your personal data.
Why do we process your personal data?
Our main purpose as a festival is to arrange a good music festival, and we do this, among other things, by having many volunteers like you, and we would like to create good conditions for our volunteers.
When it comes to you and your conditions, we process your personal data especially to ensure that you only have one profile in our volunteer system, People-VOL. Among other things, this means that we use your personal data to delete duplicates in the system. In addition, we use your personal data to communicate with you as well as to make sure that we process your personal data to plan the festival as well as possible. This means, among other things, that other volunteers on your team can see your name, phone number and email address while your team leader can see all your data and make corrections to them if you change your address, change your phone number, etc.
Your team leader may be organized either directly with Roskilde Festival or with one of the many affiliated associations. Team leaders from both Roskilde Festival and the associated associations may download team lists to organize data in other ways for their own use. By accepting our terms, you also accept that we may disclose your personal data to third parties in the form of the association where you signed up to be a volunteer. We have informed the team leaders from the associations that they have to make sure to get your consent for their processing of your data as well as inform you of how they process your data.
The lists that our own team leaders download from People-VOL are saved until after the upcoming festival and in any case no later than 31 August.
If your team leader chooses to make joint planning in the Heap360 tool, we transfer your data into the system, and if you make use of our wardrobe, we process your data in our wardrobe system so that we can always find your things as quickly as possible.
